2026 Vendor Application Terms & Conditions
1) Booth Assignment & Product Approval
Vendors must set up only within the booth space assigned by the Event Organizer. Booth locations are determined by the Organizer and may be adjusted at any time if necessary for operational or safety reasons. Vendors will be notified of any changes via email.
Each vendor is permitted to use only the allocated 10’ x 10’ space unless written approval is granted by the Organizer. Booth spaces may not be transferred, shared, reassigned, or sublet to another business or individual not listed on the approved application.
Vendors may sell only the products or services described in their approved application. Any additions or changes must be submitted in writing and approved in advance. The Organizer reserves the right to deny requested changes.
The sale of soft drinks and bottled water is strictly prohibited.
2) Vendor Fees & Refund Policy
Full payment of vendor fees is required within seven (7) days of acceptance into the event unless otherwise agreed upon in writing.
Vendors must contact the Organizer by email to confirm their preferred method of payment and arrange payment details if necessary.
All vendor fees are non-refundable. No refunds, credits, or transfers will be issued for any reason, including but not limited to weather conditions, low attendance, vendor cancellation, or unforeseen circumstances.
The Organizer is not responsible for individual vendor sales performance and makes no guarantees regarding attendance or revenue.
3) Event Hours, Set-Up & Conduct
Event hours are subject to change. Vendors will be notified by email of any updates and agree to operate during the most recently communicated event hours.
Detailed instructions regarding load-in, set-up times, and load-out procedures will be provided closer to the event date. Vendors must follow all scheduled timelines and directions from event staff or volunteers.
Vendors are required to follow all safety regulations and comply with instructions provided by the Organizer and designated event personnel. Failure to comply may result in removal from the event and forfeiture of any applicable security deposit.
4) Liability & Indemnification
The Organizer is not responsible for lost, stolen, or damaged merchandise, equipment, or personal belongings. Vendors are solely responsible for securing their booth, inventory, and valuables.
The Organizer shall not be liable for any injury, damage, or loss sustained by vendors, their staff, or representatives during the event.
Vendors assume full responsibility for any injury, damage, or loss caused by their booth, products, equipment, staff, or operations. Vendors agree to indemnify, defend, and hold harmless the Organizer, property owners, affiliates, staff, and volunteers from any claims, liabilities, damages, costs, or legal actions arising from their participation in the event.
By participating, vendors waive any claims against the Organizer related to property damage, personal injury, loss, or death occurring in connection with the event.
5) Termination & Breach of Agreement
The Organizer reserves the right to approve or decline any vendor application at its sole discretion.
If a vendor violates any portion of this agreement or fails to comply with event rules and policies, the Organizer may terminate participation immediately. In such cases, vendor fees may be withheld, and the vendor may be required to cease sales and vacate the assigned booth space.
6) Weather Policy
This is a rain-or-shine event unless otherwise determined by the Organizer. No refunds will be issued due to weather conditions. In the event of severe or unsafe weather, the Organizer reserves the right to modify, postpone, or cancel the event.
7) Insurance Requirements
Vendors may be required to provide proof of general liability insurance naming Desi’s Corner Plaza and its representatives as additionally insured. Food vendors must comply with all public health regulations and obtain required permits.
8) Cleanliness & Waste Removal
Vendors are responsible for maintaining a clean booth space throughout the event and must remove all garbage, materials, and equipment upon load-out. Failure to leave the space clean may result in additional charges.
9) Electrical Use
If electricity is requested and approved, vendors must provide their own approved extension cords and equipment suitable for outdoor use. Generators must receive prior approval.
10) Media Release
By participating, vendors grant permission for the Organizer to photograph or record their booth for promotional purposes without compensation.
